What information we collect

We may collect and process the following information:

  • Your name, address, and contact details (phone number, email)

  • Information about your pet (name, species, breed, weight, date of passing)

  • Correspondence you send us (emails, messages, call notes)

  • Technical information when you visit our website (IP address, browser type, pages visited), collected via Google Analytics and Google Ads

We do not collect, see, or store any bank or card details. We send you an invoice, and payment is made directly by you via BACS transfer to our bank. We have no access to your personal banking information at any point.

How we use your information

We use your information to:

  • Arrange collection of your pet and provide the cremation service you've requested

  • Issue an invoice so you can make payment via BACS transfer, and confirm receipt of that payment

  • Communicate with you before, during, and after the service

  • Improve our website and services

  • Comply with legal and regulatory obligations (including APHA/DEFRA record-keeping requirements)

Our lawful basis for processing

We process your personal data on the basis of:

  • Contract — to provide the service you've asked for

  • Legal obligation — to meet regulatory requirements around animal by-product handling

  • Legitimate interest — to communicate with you and improve our service

  • Consent — where you've opted in to marketing communications (you can withdraw this at any time)

Sharing your information

We do not sell your personal information. We may share limited information with:

  • Google (Analytics, Ads), to understand website traffic — this data is anonymised/aggregated where possible

  • Regulatory bodies, where required by law

We do not share your details with any other third party for marketing purposes, and we do not share your information with any bank or payment processor, as we do not handle your banking details at any point.

How long we keep your information

We retain your information for as long as necessary to provide our service and meet legal record-keeping obligations. In line with APHA (Animal and Plant Health Agency) requirements, we retain relevant records for a minimum of 2 years, after which your information is securely deleted.

Your rights

Under UK GDPR, you have the right to:

  • Access the personal information we hold about you

  • Ask us to correct inaccurate information

  • Ask us to delete your information (subject to our legal retention obligations)

  • Object to or restrict certain processing

  • Withdraw consent for marketing at any time

  • Complain to the Information Commissioner's Office (ICO) if you believe we've mishandled your data

To exercise any of these rights, contact us at support@southportpetfarewells.co.uk.

Cookies

Our website uses cookies to help it function and to understand how visitors use it, including Google Analytics and Google Ads tracking cookies. You can control cookies through your browser settings.

Changes to this policy

We may update this policy from time to time. The most recent version will always be available on this page.

Ready to paste into all three sites as-is, since it covers "Pet Farewells" as the overarching company rather than needing to change per brand. Worth that solicitor check mentioned earlier if you want full confidence it's watertight, but as a working policy this covers the essentials properly and accurately reflects how your business actually operates.
